Truck Export documents: what is what and why are they so important?

Different truck documents for export

Many customers know the terms, but don’t know exactly what these documents mean. Below we explain them clearly:


Commercial Invoice (invoice)

  • The basis of the entire export:
  • - used for customs valuation
  • - required for import tax and duties in the destination country
  • - often requested by banks, agents, or importers


CMR / Packing list (if required)

  • Shows what exactly is being delivered (and in what form):
  • - quantities
  • - weight
  • - dimensions
  • - chassis numbers / unit details (where needed)

Bill of Lading (B/L) or Sea Waybill / Telex Release

The official transport document issued by the shipping line. Without this document, a truck cannot be released and collected in many ports.


Certificate of Origin (sometimes required)

Some countries or importers request this as additional proof of origin for import procedures.


GSO Certificate (Gulf Cooperation Council Standardization Organization)

serves as the standardization and regulatory body for the Gulf Cooperation Council (GCC), which includes all Arab Gulf states except Iraq.


EUR1 / EURMED

The EUR.1 or EUR-MED certificate is an official document that proves the preferential origin of goods, allowing the importer to benefit from reduced or zero import duties in certain countries. EUR-MED is mainly used within the Pan-Euro-Mediterranean trade zone and supports origin cumulation rules.

Truck Export documents and administration – why it makes all the difference

In export, everything is built on trust and proof. A vehicle may be fully ready to ship, transport planning can be perfectly arranged, and the customer may have everything prepared… but if the documentation is incorrect or incomplete, the entire shipment can still come to a stop.

That’s why export administration is not just a formality, it is the heart of the export process. It is the foundation on which customs authorities, carriers, and auditors confirm that a shipment has been executed correctly and legally. One small mistake or missing document can cause delays, additional costs, or in the worst case, a temporary shipment blockage.


Practical example:

Imagine the VIN on the invoice differs by just one digit from the VIN on the export declaration. In daily operations, that may look like a small typo… easy to fix. But for customs, it becomes an identity mismatch. Later, during an audit, this can raise questions such as: which vehicle was actually exported?

That is exactly why everything is checked in advance, before the shipment departs. Not when the vehicle is already on the road, but upfront. This ensures the export runs smoothly, the shipment crosses borders without issues, and there is no discussion or risk afterwards.

Extra documents: Angola CNCA / Waiver document

For Angola, an additional waiver or tracking document is often required without this document, delays may occur in the import process. Without a valid CNCA document, the vehicle cannot be collected from the port. These documents can be requested locally or arranged by the shipping party. Local documents often cost half the price.


Prepare documentation to ship from EU port
